Our promises about your data, how Ive Sent It's features actually work, and the formal notice that governs it all.
Last updated October 2026
In Short
This section explains, in plain language, how specific Ive Sent It features handle your data; where it is more specific, this section prevails. Contact for anything on this page: privacy@ivesentit.com.
Our promises — what we never do
- We never sell or rent your personal data, and never share it for advertising.
- We never use your content — files, messages or metadata — to train AI or machine-learning models, ours or anyone else's. Automated analysis of your content happens for one reason only: the safety checks described below.
How the features handle data
- Delivery evidence. When a recipient opens or downloads a delivery we record the event — time, file, the recipient's IP address, browser type and the country derived from the IP. This ledger powers the sender's delivery record, GeoWall rules, per-recipient download limits and the signed proof-of-delivery receipt. The sender sees the country, never the IP. The ledger is kept for the life of the delivery plus 30 days.
- Where a send comes from. When you send files — with an account, as a guest, through our developer API, inside a team, or by uploading to someone's request link — we record the IP address you sent from and the country, region and city our network derives from it, and the type of device (phone, tablet or computer). We use it only for security, fraud and abuse prevention, and to respond to lawful requests from law enforcement or regulators. It is never shown to the people you send to and never used for advertising. For an account send it is kept for as long as your account exists and deleted with your account. For a send made without an account (a guest send, or an upload to a request link) it is deleted 30 days after the link expires.
- Identity-verified delivery. A sender can require you to prove who you are before their delivery opens — from an emailed code up to a document-and-liveness check run by our verification provider Didit. A liveness check involves biometric processing by Didit and happens only with your explicit consent at that moment (declining just means the delivery stays closed). We receive the outcome and, for document and liveness checks, the verification portrait Didit returns; the sender can see that portrait on their review page, and it is deleted with the delivery. We never receive your ID document or any biometric template.
- Forensic watermarking. On the sender's request, documents and images carry a recipient-specific mark: a visible line with the recipient's email address and a short delivery reference, an embedded delivery and recipient identifier, and optionally a short label the sender chose — so a leaked copy can be traced.
- Safety scanning and human review. Every file is scanned for malware before delivery. Common image and video formats (JPEG, PNG, MP4, MOV) are also screened automatically for prohibited content such as CSAM. When a check flags a file, a member of our staff may view the files. A send under review cannot be deleted until the review ends; where we suspect serious abuse its records and files may be preserved as evidence for up to 13 months, and reported to the authorities where the law requires.
- Storage region and transit. A transfer's files are stored, scanned and delivered in one data region, the EU (Frankfurt) or the US (Ohio), for its lifetime. Which one depends on where you send from: we pick the region nearest the country your request came from (unknown means the EU). On the Team plan you choose the region for each send, and files sent to a file request use the region set when the request was made. Long-distance uploads may transit AWS's global edge network encrypted end to end; files never leave their region. Account and delivery records (names, email addresses, delivery ledgers, send origins) are held in the EU whichever region the files use, and the emails we send you are dispatched from the US.
- Measurement — our own, nothing third-party. We use no third-party analytics, we don’t track you around the internet, and we never mine or sell your data. By default we count visits with a daily-rotating, non-reversible hash of IP address and browser that cannot be joined from one day to the next — no cookie. Two things you control: if you choose Accept all on the cookie banner, our own server sets one first-party cookie holding a random identifier (13 months) so we can tell whether people come back — it carries nothing about you and is never joined to advertising. And if you arrived from one of our Google ads, the click reference Google put in the page address is attached to any sign-up, guest send or purchase you make during that visit, and we later tell Google that the click led to a sign-up, a guest send or a payment; Accept all additionally keeps the reference in your browser for 90 days so a later visit can still be credited. We never send Google your name, email or anything about your files; our conversion record (click reference, time, value, an internal id or a hash of a guest's email) is kept for 13 months. When you are signed in, our measurement carries a one-way hash of your email, made in your browser, so we can tell members from visitors — not who you are. Our own Google Ads reporting tool reads our advertising account's performance data through Google's API; it does not touch your data or your files. (See the Cookie Policy.)
- Error reporting. When something breaks, the website, the apps and our servers send a technical report to Sentry (Functional Software, Inc., USA): the error, the page or endpoint pattern, your opaque account id if you are signed in, your country and a request id. Never your email, your files, cookies or the contents of a request. Your IP address reaches Sentry with the connection, as with any web request, and is not stored by us there.
- Security logs. Our systems keep standard access logs — IP address, browser, page or file requested, time — for the website, the API and downloads, for 90 days, for security and abuse investigation.
- Delivery certificates and receipts. Every delivery has a public certificate at ivesentit.com/verify. From the Delivery ID alone it shows that the delivery is genuine, the sender's name, @handle and team, a masked email address, how many files and their total size, when it was sent and expires, and which protections were on; presenting the full certificate hash additionally shows the sender's email, the label and the file list. Signed receipts work the same way. After a delivery or the sender's account is deleted, the register keeps only a stub — the identifier, a hash and the signature, nothing personal — for 10 years, so a certificate or receipt someone holds can still be checked.
- Teams. In a team workspace your role and the sends you make there are visible to everyone in the team, in the team's Deliveries. A pending invite stores the invitee's email until accepted or expired. Sends made in a team belong to the team and are not deleted with your personal account.
- Recent recipients. To save you retyping, your account remembers the addresses and @usernames you have sent to (the last 60, with how often) and offers them on the send screen. You can forget any of them there, and the list is deleted with your account.
- Who bills you. A plan bought on our website from the United Kingdom, the Isle of Man, Jersey or Guernsey is sold and billed by Ive Sent It Ltd, our UK company; everyone else's by IVE SENT IT LLC. The company that bills you, and Stripe on its behalf, hold your billing details — name, email address, the full billing address asked for at checkout, your plan, invoices and payment status — and Ive Sent It Ltd is a controller of the billing records of its own customers. Card details are held only by Stripe. App Store subscriptions are billed by Apple.
- Pay to Download. When a seller charges for a delivery, the payment is taken by Stripe directly for the seller; the seller and Stripe receive your email address and the payment reference, and we keep a record of the payment (amount, currency, status, the delivery and recipient it belongs to). We take no commission.
- Delete it all, yourself.Account → Delete account closes your account immediately: you can no longer sign in, your sends stop working, your file requests close, any subscription bought on our website is cancelled, and your username is released after a 30-day hold. Your account, everything you sent and your file requests are scheduled for deletion at that moment and permanently deleted within 30 days. Deletion cannot be undone or cancelled. Files other people sent you remain theirs. A subscription bought through the App Store is managed by Apple: cancel it in your Apple ID settings or it will keep renewing. A few records outlive your account, as the full notice sets out: the tamper-evidence register for certificates and receipts (a stub with nothing personal, 10 years), support tickets you opened (2 years after closing), our edge security logs (90 days), anonymous usage statistics and ad-conversion records (13 months), a hard-bounce record for an email address that rejected our mail (12 months), and anything held under a safety review, a preservation hold or a lawful order for as long as that requires.

Do we collect any information from third parties? A little, from a few providers: payment status from Stripe; the outcome of an identity check from Didit; the click reference Google adds to the address when you arrive from one of our ads; and, if you installed our iOS app after tapping one of our Apple Ads, Apple's campaign identifiers for that install (no personal data), kept for 12 months and attached to your account if you sign up.
How do we process your information? We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. names
email addresses
passwords
contact or authentication data
billing addresses
debit/credit card numbers
Sensitive Information. We process biometric data only where a sender requires an identity-verified delivery and you consent at that moment; see Identity Verification below.
Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number, and the security code associated with your payment instrument. All payment data is handled and stored by Stripe . You may find their privacy notice link(s) here: https://stripe.com/gb/privacy .
Pay to Download. When you pay a seller for a delivery, the payment is processed by Stripe for the seller. We keep a record of the payment — amount, currency, status, and the delivery and recipient it belongs to — and your email address is shared with Stripe and the seller as part of the transaction.
Sending Data. When you send files — with an account, as a guest, through our developer API, in a team, or by uploading to someone's request link — we record the IP address the send was made from and the country, region and city our network derives from it, and the type of device (phone, tablet or computer). We use it only for security, fraud and abuse prevention, and to respond to lawful requests from law enforcement or regulators. For an account send it is kept for as long as your account exists and deleted with your account; for a send made without an account it is deleted 30 days after the link expires. To save you retyping, your account also remembers the addresses and @usernames you have sent to (the last 60, with how often) and offers them on the send screen; you can forget any of them there, and the list is deleted with your account.

Identity Verification. Where a sender requires it, our provider Didit verifies a recipient by emailed code, liveness check or identity document. Didit receives only a workflow reference and a callback from us; we receive the outcome and, for document and liveness checks, the verification portrait, which the sender can see on their review page. Both are deleted with the delivery. We never receive your identity document or a biometric template.
Security Logs. Our edge keeps standard access logs for the website, the API and downloads — IP address, browser, page or file requested, time — for 90 days.
Measurement. By default we count visits with a daily-rotating, non-reversible hash of IP address and browser. If you choose Accept all on the cookie banner, our server sets a random return-visit identifier (13 months). Raw page-view records are kept for 90 days and first/last-seen records for 13 months. See section 5 and our Cookie Notice.
Error Reports. When something breaks, our website, apps and servers send a technical report to Sentry: the error, the page or endpoint pattern, your opaque account id if signed in, your country and a request id — never your email, files, cookies or request contents.

We do not use your files, or anything derived from them, to train or evaluate artificial-intelligence or machine-learning models, and no provider is permitted to train on them; we do not sell, publish or advertise with them. Files are stored, scanned and delivered in one data region, the EU (Frankfurt) or the US (Ohio), chosen as the region nearest the country you send from; on the Team plan you choose the region for each send. Account and delivery records are held in the EU; our emails are sent from the US.

3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e.If you are located in the EU or UK, this section applies to you.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:

fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
- Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:
Analyze how our Services are used so we can improve them to engage and retain users
- Diagnose problems and/or prevent fraudulent activities
- Keep our Services secure and prevent abuse, including recording the IP address each send is made from

- For identifying injured, ill, or deceased persons and communicating with next of kin
- If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
- If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
- If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
- If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced

4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?
In Short: With the service providers that run the Service for us, with a seller when you pay them, and in a business transfer.Service providers. These companies process personal information on our behalf, under contract, only to provide their part of the Service:
- Amazon Web Services — hosting, storage, scanning and email. Files in the EU (Frankfurt) or the US (Ohio) by region; account and delivery records in the EU (Frankfurt); our content-delivery edge and download ledger in the US (N. Virginia); automated content screening in the files' region; transactional email sent through Amazon SES from the US (Ohio), with a record of each message — recipient address, subject, delivery and open events — kept for 90 days; the sealed inspection room our staff use to view held files.
- BucketAV — malware scanning of every uploaded file, inside our AWS account.
- Stripe — payments, subscriptions and invoices, on the Stripe account of the company that bills you: Ive Sent It Ltd's for customers in the United Kingdom, the Isle of Man, Jersey and Guernsey, and IVE SENT IT LLC's for everyone else; and, for Pay to Download, the seller's payment account. Stripe receives your payment details, email address and billing address; see https://stripe.com/privacy.
- Apple — App Store purchases (identified to Apple by a one-way token derived from your account, never your email); push notifications, whose contents (for example an uploader's name, a request title, the viewer's country) pass through Apple's notification service; and Apple Ads install attribution.
- Google — if you arrived from one of our ads, the click reference and the fact that it led to a sign-up, a guest send or a payment (never your name, email or files). Our pages load fonts from Google Fonts and a script library from jsDelivr, so those services receive your IP address and browser details when a page loads, as with any web request.
- Sentry (Functional Software, Inc., USA) — error reports as described in section 1.
- Didit — identity verification where a sender requires it.
- Termly — hosts the data-request form linked from this notice.
- Microsoft 365 — the mailboxes behind our support addresses.
Sellers. When you pay for a delivery through Pay to Download, the seller receives your email address and the payment reference from Stripe.
Recipients and senders. The people you send to see your name and what you chose to show them; senders see the country (never the IP) from which their delivery was opened, and, where they required identity verification, its outcome and portrait.
Authorities. We disclose information where the law requires it, in response to a valid order or request from law enforcement or a regulator, or where we believe in good faith that it is necessary to prevent serious harm.
We may also share your personal information in the following situation:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
In Short: Only our own, and only the few described in our Cookie Notice.We use first-party cookies and browser storage to keep you signed in, remember your preferences and run the Service. We use no third-party analytics, advertising or tracking technologies, and we do not permit anyone else to place them on our Services; the only third-party cookies are Stripe's, on payment pages, for payment processing and fraud prevention. Our own measurement uses a daily-rotating hash by default and, only if you choose Accept all, one first-party return-visit cookie (13 months).
We do not sell or share personal information for targeted advertising as those terms are defined under US state privacy laws.
Specific information about how we use such technologies and how you can refuse certain cookies is set out in our Cookie Notice : https://ivesentit.com/cookies .
6. HOW LONG DO WE KEEP YOUR INFORMATION?
In Short: We keep your information for as long as necessary toWe will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).
When you delete your account, it is closed immediately, scheduled for deletion at that moment, and permanently deleted within 30 days; deletion cannot be undone. Information about a send made without an account (a guest send, or an upload to someone's request link) is kept for as long as that send exists and deleted 30 days after its link expires. Files are deleted when the send expires or is deleted.
A few records are kept beyond this:
- the tamper-evidence register for delivery certificates and receipts keeps an identifier, a hash and a signature — never names, email addresses or files — for 10 years, so a document someone holds can still be verified;
- support tickets you opened, for 2 years after they are closed;
- edge security logs (IP address, browser, page or file, time), for 90 days;
- anonymous usage statistics (first/last seen records) and ad-conversion records, for 13 months;
- a record that an email address rejected our mail (a hard bounce), for 12 months, so we do not keep sending to it;
- the sends made inside a team workspace, which belong to the team;
- a send under safety review or placed under a preservation hold by our staff, for as long as the review or hold lasts; evidence copies of files held for suspected serious abuse are kept for up to 13 months;
- anything a lawful order or request requires us to keep, for as long as it requires.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
7. HOW DO WE KEEP YOUR INFORMATION SAFE?
In Short: We aim to protect your personal information through a system ofWe have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
8. DO WE COLLECT INFORMATION FROM MINORS?
In Short: We do not knowingly collect data from or market toWe do not knowingly collect, solicit data from, or market to children under 13 years of age or the equivalent age as specified by law in your jurisdiction , nor do we knowingly sell such personal information.
